How to reset a user’s password
Restore access for someone locked out of their account who can’t reset it themselves. This is the Account Admin path, use it when the self-service route isn’t available to them.
Before you begin
You need:
- The Account Admin role
- The user’s identifier or email address
- An organization in common with them. You can only reset the password of a user who shares an organization with you
A Datanyx password gets set in one of two ways, and it’s worth knowing which situation you’re in:
- At account creation, the new user receives a setup link by email and sets their own password. Nobody else sets it for them.
- After that, an Account Admin in the same organization can reset it from User Management. That’s what this article covers.
Check whether the problem is actually a password. If the user is Inactive, no password will let them in and the sign-in attempt fails regardless. Look at their status first.
Steps
Step 1. Confirm you share an organization with the user
You can only reset passwords for users in an organization you also belong to. If they’re not in one of yours, this won’t work, and the fix isn’t on this screen. See the first entry under Common issues.
Step 2. Open User Management
From the main navigation, click Admin, then open the User Management tab.
Step 3. Find the user
Search by user identifier or email address.
Step 4. Confirm they’re Active
An Inactive user can’t sign in whatever their password is. If that’s the situation, reactivate them instead and the password may not need touching at all. See How to deactivate or reactivate a user.
Step 5. Open the reset option
In the user’s row, open the settings menu and select Reset password.
Step 6. Set the new password
Enter the new password and confirm it.
Step 7. Get it to the user safely
Send the new password through a channel separate from their email, and ask them to change it once they’re in. A password sent to the mailbox they’ve been locked out of does nothing, and one sent over an unsecured channel becomes a standing risk.
Result
The user can sign in with the new password. Their roles, group memberships, organizations, and everything they own are untouched. A password reset changes authentication only. The user can then navigate to My Accounts to set a new password if required.
Common issues
- I can’t reset this user’s password. You don’t share an organization with them. Either ask an Account Admin who is in their organization to do it, or add yourself to that organization first. See How to give a user access to more than one organization.
- A new user never got their setup link. That’s the creation email, not a reset. Check the address on their record is correct and ask them to look in spam. If it’s still missing, reset the password here and send it to them directly.
- They still can’t sign in after the reset. Check the status field. An Inactive user is blocked regardless of password.
- They can sign in but land somewhere unexpected. Unrelated to the reset. The default page is set on their profile.
- They can sign in but can’t reach what they need. Also unrelated. Access comes from roles. See How to work out why a user can’t see something.
