How to delete a user
Permanently remove a user record from the workspace. Deletion can’t be undone, so work through the checks below before you do it.
Before you begin
You need the Account Admin role and the user’s identifier or email address.
Deletion is permanent and cannot be reversed. There is no undo and no recycle bin. If there’s any chance you’ll want this record back, a disputed departure, an unfinished handover, an audit period still open then deactivate instead. An inactive account is just as blocked from signing in, and you can still delete it later. See How to deactivate or reactivate a user.
Work through this before deleting:
- Reassign anything they own. Reports, pipelines, and rules created by the user stay in the workspace after deletion. They aren’t removed, but their creator record is gone, which makes ownership and history harder to establish later.
- Check for scheduled content. Anything scheduled under their name needs an owner who still exists.
- Confirm they’re not your last Account Admin. A workspace needs at least one, and no one else can grant the role.
Steps
Step 1. Reassign their content
Do this first, while the record still exists to search against. Once it’s deleted, finding what they owned gets considerably harder.
Step 2. Open User Management
From the main navigation, click Admin, then open the User Management tab.
Step 3. Find the user
Search by user identifier or email address. Check it’s the right person. Identifiers can look alike, and this is the last point at which a mistake is recoverable.
Step 4. Delete
In the user’s row, open the settings menu and select Delete. Confirm at the warning prompt.
Result
The record is gone from User Management and the person can no longer sign in.
Common issues
- I deleted the wrong user. The record can’t be recovered. Create a new user with the same details and reassign their roles, organizations, and group memberships by hand, this rebuilds their access but not their history.
- A scheduled Report stopped running. It was likely owned by the deleted user. Recreate the schedule under an active owner.
- The deletion was blocked. Something still depends on the record.
