How to create a user
Add a new person to your Datanyx workspace, assign them roles, and set their default login behavior. This is the starting point for every user: Admin, Designer, or Viewer.
Before you begin
You need:
- The Account Admin role. Only Account Admins can create users
- The user’s first name, last name, email address, and user identifier
- The roles you plan to assign (create any custom roles first if needed)
- For multi-organization workspaces: the list of organizations the user will access, and which one is their primary
Steps
Step 1. Open User Management
From the main navigation, click Admin, then open the User Management tab.
Step 2. Start a new user
Click the plus icon in the bottom-right corner of the screen. The new user dialog box opens.
Step 3. Fill in the user details
Enter the following:
- First name — the user’s given name
- Middle name — optional
- Last name — the user’s family name
- User identifier — a unique ID for this user. Typically an employee number, initials, or handle. This is shown in search results and audit logs.
- Email (Login ID) — the email address the user will sign in with. A verification and invitation email is sent to this address.
Step 4. Assign one or more roles
In Select Roles, pick the role or roles this user should hold. Roles are additive, if a user holds multiple roles, they get the combined access of all of them.
Common combinations:
- Account Admin + Lens Designer — for admins who also build dashboards
- Lens Designer + Viewer — for Designers who also consume reports built by others
- Viewer only — for users who only need to see shared dashboards
Account Admin is the governance role. Designate at least two Account Admins for your organization so you always have a backup if one is unavailable. You can add the Account Admin role to an existing user at any time.
Step 5. Set organization access
In workspaces with multiple organizations, select the organizations this user can access from List of Organizations, then set the Primary Organization, this is the organization the user will land in at first login.
If your workspace has only one organization, this is already set for you and you can skip ahead.
Step 6. Configure the default landing page
From the Default page dropdown, pick the page the user should see when they log in.
Step 7. Submit
Click Submit. The user receives an invitation email at the address you entered. They’re not active in the workspace until they accept the invitation and set their password.
Result
The new user appears in your User Management list with a status of Active. They’ll receive an invitation email, and once they sign in and set a password, they’ll have access based on the roles and organizations you assigned.
You can change any of these settings later from User Management: edit profile, reassign roles, reset password, switch organizations, or deactivate the user entirely.
Common issues
- The user says they never received the invitation email. Confirm the email address was entered correctly. Ask the user to check their spam folder. If it’s still missing, reset the password from the user’s settings menu and pass the new password to the user directly.
- The role I need isn’t in the dropdown. Roles that aren’t licensed (e.g., Weave Designer if you don’t subscribe to Weave) won’t appear. Custom roles also don’t appear until they’re created in Roles Management. Create the role first, then return to user creation.
- The user can log in but can’t see the menu they need. Access is granted by roles, not by the default landing page. Check the roles assigned to the user. If none of them grants access to that menu, you need to add a role that does.
