How to create a group

Bundle users into a team so roles can be assigned once rather than person by person. Groups are what make onboarding a one-step job, add someone to the group and they get everything the team has.

Before you begin

You need:

  1. The Account Admin role. Group Management is restricted to Account Admins
  2. The users you’re adding, already created
  3. The roles you’re assigning, already created
  4. All of them in the same organization as the group

Groups live inside a single organization. Only users in that organization can be members, and someone who works across two organizations needs a group in each, membership doesn’t carry over.

Every role on a group goes to every member. There’s no partial assignment. If a subset of the team needs something extra, that’s a subgroup, not an extra role on the parent. See How to create a subgroup.

Roles from a group stack on top of whatever the user already holds. Datanyx applies the union of every source: direct assignments, group roles, and roles inherited from parent groups. Adding someone to a group can only widen their access, never narrow it.

Steps

Step 1. Open Group Management

From the main navigation, click Admin, then open the Group Management tab.

Step 2. Start a new group

Click the add icon in the bottom-right corner of the screen. The Add Group pop-up opens.

Step 3. Name the group

Enter a Group Name. Name it for the access the team shares rather than for the team’s current label, names outlive reorganizations, and a group called “Regional Analysts” survives a rename that “North Team” doesn’t.

Step 4. Leave Parent Group empty

For a top-level group, leave Parent Group empty. Selecting a parent here makes this a subgroup instead, which inherits the parent’s roles, covered separately in How to create a subgroup.

Step 5. Select the members

In Select Users, choose everyone who belongs to this team. Only users in this organization appear.

Step 6. Select the roles

In Select Roles, choose the roles every member should hold.

Assign the narrowest set that covers what the whole team needs. Anyone needing more can hold a direct role assignment on top, or sit in a subgroup, both are easier to unpick later than a group whose roles grant more than most members should have.

Step 7. Submit

Click Submit. The group appears in the Group Management list, and its members hold its roles immediately.

Result

The group exists with its members and roles. Everyone in it now holds the group’s roles on top of anything they already had.

From here, membership is the only lever you need. Adding a user to the group grants everything the team has; removing them takes back whatever no other source still grants.

Common issues

  1. A user I need isn’t in the Select Users list. They belong to a different organization. Groups are organization-scoped, Add the user to this organization first, see How to give a user access to more than one organization.
  2. The role I want isn’t offered. It hasn’t been created yet, or it doesn’t apply to this organization. Check Organizational Access on the role.
  3. Members are in the group but see nothing new. The role may not grant what you assumed. Open it in Roles Management and check its Menu Access and Advanced settings. Also confirm the user is signed in to the right organization.
  4. Only some members should have one of these roles. Roles can’t be partially assigned. Put those members in a subgroup with the extra role.
  5. A member has access the group doesn’t grant. They hold it directly or through another group. Access is the union of every source.
