How to create an organization
Add a further organization: a division, business unit, or customer account to segment users, roles, groups, and data. Your workspace already has one organization, created when the first user was set up; this covers every one after that.
Before you begin
You need:
- The Account Admin role: Organization Management is restricted to Account Admins
- The organization’s identifying details: address, phone number, and external ID if you use one
- A decision on whether this organization needs filter parameters
Your workspace already has at least one organization. When the first user was created, they were prompted to create an organization straight away. Datanyx doesn’t allow orphan users, so every user has to belong to one. This article covers adding organizations beyond that first one.
Steps
Step 1. Open Organization Management
From the main navigation, click Admin, then open the Organization Management tab.
Step 2. Start a new organization
Click the add icon in the bottom-right corner of the screen. The Add Client pop-up opens.
Step 3. Fill in the identifying details
- Client Name: the display name for the organization. This is what appears wherever users pick or are assigned an organization, so use the name people actually call it.
- Address: postal address. (Not mandatory)
- Phone Number: primary contact number. (Not mandatory)
- External ID: the identifier that maps this organization to records in an external system. Leave it empty if you’re not integrating with one. (Not mandatory)
Step 4. Add configuration parameters, if you need them
Under Configuration Parameters, click the add icon for each parameter you want to add. Each has a Key, a Value, a Type, and for Filter-type parameters, a Filter Operation.
Type General carries a value with the organization and does nothing else. Type Filter applies the value as a hidden filter on every Dashboard for users in this organization.
Filter-type parameters change what data people see, silently. They’re powerful and easy to get wrong, and a mistake here produces a Dashboard that looks fine and shows the wrong rows.
You can skip this now and add parameters later by editing the organization. It’s often easier once your data sources are connected and you know the real column names.
Step 5. Save
Click Save. The organization appears in the Organization Management list.
Result
The organization exists and can now be assigned to users, and used to scope roles and groups. Any Filter-type parameters you configured apply to every user in it from their next Dashboard load.
Everything created inside the organization from here like users, roles, groups, Reports is scoped to it.
Common issues
- The Configuration Parameters list is empty after saving. The pop-up was likely saved before the parameter rows were committed. Re-open the organization, re-add the parameters, and save again.
- A filter parameter isn’t affecting Dashboards. The Key has to match a column name in the underlying data exactly, including case.
- I can’t assign a user to the organization. Check you’re editing the user’s organization list, not the group. Users are assigned to organizations from their profile.
- I don’t see the organization my workspace started with. It was created during first-user setup and sits in this list alongside any you add. It behaves no differently from the rest and you can edit it, add parameters to it, and assign users to it as normal.
- I created it in the wrong place and want to start over. Deleting an organization has consequences for everything scoped to it.
